Here at 1st Step Solutions, we are supporting a leading established M&E contractor who are currently recruiting a Project Administrator/Document Controller to join their expanding team based in Bedminster.

Role Overview

The successful candidate will provide vital administrative and document control support to project managers and technical teams working directly from the Bristol office. This role will be especially suited to someone with a background in construction or engineering projects, and ideally with previous experience working within MOD protocols or secure site frameworks.

You will be responsible for managing documentation, maintaining audit trails, ensuring version control, and coordinating administrative project support in a highly professional and confidential manner.

Key Responsibilities

· Set up and maintain accurate project filing systems in line with internal QA and MOD standards

· Control and issue project documentation (drawings, RAMS, permits, correspondence, etc.)

· Monitor document submissions and ensure version control and traceability

· Assist in the preparation and submission of O&M manuals and project handover documents

· Liaise with project managers, engineers, site teams, and external stakeholders to manage the flow of documents

· Track document reviews, approvals, and deadlines

· Maintain logs and registers (RFIs, submittals, transmittals)

· Ensure compliance with project-specific and MOD documentation protocols

· Provide general administrative support to the project delivery team, including meeting coordination, minutes, and reporting

Requirements

· Proven experience in a similar role (Project Administrator, Document Controller, Project Coordinator)

· Familiarity with construction or engineering project documentation

· Experience working in a secure or MOD environment is highly desirable

· Strong understanding of document control systems, procedures, and software

· Excellent organisational and time management skills

· High attention to detail and confidentiality

· Strong communication skills (written and verbal)

· Proficient in Microsoft Office (Word, Excel, Outlook)

· Comfortable working independently and collaboratively with project teams

Desirable Skills & Qualifications

· Experience with document control systems

· Valid security clearance or ability to obtain MOD clearance
