Description

Tennial Personnel are currently recruiting for a proactive and detail-oriented Administrator to join our client’s administration team based at their Felixstowe site. This is a temporary-to-permanent opportunity (following a successful 12-week probation period), offering long-term stability within a fast-paced logistics environment. The role supports both administrative and Health & Safety functions, with an immediate start available for the right candidate.

Working Hours:

Monday: 8:00 AM – 4:00 PM
Tuesday to Friday: 9:00 AM – 5:00 PM
Total: 37.5 hours per week
This is a fully office-based role, with on-site parking available.

Key Responsibilities:

Generate and issue customer invoices and credit notes in line with service agreements

Raise and receipt purchase orders, ensuring accuracy and timely processing

Liaise with clients, suppliers, delivery personnel, and internal departments

Produce and maintain monthly KPI reports, including cost tracking and recharge data

Assist in internal and external audit preparations and provide proof of charges

Order and manage office supplies, uniforms, and consumables through third-party systems

Maintain training records, personnel files, and agency worker documentation

Handle supplier and client queries professionally via phone and email

Ensure GDPR compliance when managing sensitive data

Update and maintain site noticeboards and documentation

Support general administrative duties and assist with project-based tasks as needed

Desirable (but not essential) Additional Duties:

Monitor servicing schedules and statutory inspections for warehouse equipment

Maintain MHE (Material Handling Equipment) compliance and usage logs

Support facilities management and H\&S compliance tracking

Oversee fleet access and training compliance through internal systems

Skills Required

Previous administrative experience in fast-paced environment

Strong multitasking and organisation

Excellent attention to detail and data accuracy

Confident written and verbal communication across all levels

Ability to remain calm and professional under pressure

Proficient in Microsoft Excel and Word

Familiarity with financial systems (IFS or similar) and warehouse systems (Red Prairie) is advantageous

Qualifications Required
Minimum of 5 GCSEs (Grade A-C or equivalent)

Training in supervisory skills, food hygiene or Health & Safety would be an advantage
