Purchasing Administrator

Location: Near Tetbury

Hours: 37.5 hours per week, 9.00 am to 5.00 pm Monday to Friday, with a half hour lunch break. Hybrid working considered, with a minimum of 3 days in the office.

Salary: £28,000 - £30,000 per annum + Excellent benefits

Key Responsibilities of a Purchasing Administrator:

* Assist in setting up new products and maintaining accurate product and supplier information within company systems.

* Raise purchase orders for stock, services, and product development, amending as required to reflect changes in quantities, dates, or costs.

* Track and follow up on deliveries with suppliers and internal teams, assisting in resolving any discrepancies.

* Manage buying office samples and ensure product specifications and supporting documents are completed.

* Provide product information, imagery, and launch details to the e-commerce and retail teams for new product introductions.

* Support range planning and stock management through accurate system updates and basic reporting.

* Monitor stock levels across sites, raising replenishment orders as required.

* Assist in managing replenishment, warehouse write-offs, and component dispatch to suppliers.

* Support the maintenance of accurate stock records and investigate discrepancies.

* Maintain accurate product, stock, and supplier records across all relevant systems.

* Support the production of basic stock and sales reports to guide team decision-making.

* Respond to queries from Customer Services and Finance relating to product, orders, and invoices.

* Provide general administrative support to the Supply Chain and Merchandise Manager and wider team.

* Communicate effectively with suppliers and colleagues, maintaining a professional standard at all times.

* Contribute to team meetings and support departmental planning.

Key Skills of a Purchasing Administrator:

* Previous experience in a retail, merchandising, or administrative role.

* Strong organisational and administrative skills, with excellent attention to detail.

* Confident communicator with effective interpersonal skills.

* Proficient in Microsoft Office (especially Excel) and comfortable learning new systems.

* Flexible and proactive, able to prioritise multiple tasks.

* Calm and reliable under pressure, with a professional and discreet manner.

* Experience with stock management or ERP system is desirable
