The role

The events coordinator will play a critical role in the smooth running of the office at Duxford and provide day-to-day administrative support to the commercial and medical function, coordinate internal and external events, conferences, and be responsible for ensuring that documentation relating to events and activities is completed in line with SOPs and company policies. The successful candidate will need a blend of administrative, communication skills and be able to help with the co-ordination and implementation of marketing activities for our client across the UK and Ireland, supporting with campaigns to ensure the marketing/medical department attain their goals, as well as for the long-term growth of the company.

This office-based role reports to the Head of Marketing and Communications UK & Ireland but will provide support to other members of the cross-functional team as required and it is therefore essential that you possess the ability to build relationships and communicate effectively.

As a pharmaceutical company, Our client operates within a highly regulated environment, you will be responsible for ensuring internal standard operating procedures are rigorously followed when it comes to planning and executing promotional activities and events.

This role is largely an administrative and events co-ordination role.

Key Responsibilities

General office administrative duties

* Co-ordinate day-to-day requests for support from the cross-functional team

* Sending out technical material to the sales team and HCPs

* Helping with the organisation of meetings and general enquiries

* Contract management.Coordination of internal and external events and conferences

* Ensure smooth running of the office at Duxford

* Assist with the annual compliance documentation

* Administrative assistance to the medical department

Marketing support

* Event co-ordination, including venue finding, managing vendors, overall project and logistics management and providing onsite support during the running of events

* Preparing and collation of contracts, briefings, presentations and other related documentation necessary to deliver promotional activities and events, in accordance with out clients standard operating procedures and ABPI compliance guidelines. Co-ordination of ‘Electronic Approval System’ for the approval of all promotional materials

* Managing invoices and liaising with Finance Accounts Payable to ensure timely payment of suppliers

* Act as a central conduit between the marketing function and field sales:

* Channelling ideas for new materials or marketing initiatives that originate within the sales team and;

* Proactively seek involvement from the sales team in shaping new materials and marketing programmes and;. Gathering feedback from the sales team to assess the impact of marketing initiatives post-implementation

* Liaise with suppliers such as printers and marketing agencies to ensure promotional materials are available and up to date

Essential

* Excellent communications skills required to be able to communicate confidently in a professional manner with people at all levels within the organisation as well as external customers and stakeholders

* Excellent organisational skills

* Soft interpersonal skills

* Creative approach to problem solving whilst being a key team player

* Ability to work on own initiative with a solution focused approach

* Adept at using Microsoft Office Outlook, Word, PowerPoint and Excel

* Experience of working in a similar administrative/organisational role within a fast-paced organisation

* Experience in co-ordinating events and meetings

* Educated at least to A-level or equivalent.

* Given the regulations under which we must operate, you need to be fully onboard with following standard operating procedures and internal processes and have a real eye for detail in terms of ensuring these are adhered to consistently

* Ability to work under pressure and meet tight deadlines

* Prioritisation and adaptability in a fast-paced environment

* Strong interpersonal skills to work cross-functionally

Desirable

* Experience working within the pharmaceutical or medical device industry, or a similarly highly-regulated sector

* Experience of working with Veeva Promomats would be ideal, but is not essential as training will be provided
