Description

As a Property Maintenance Administrator, you’ll act as key co ordinator between clients, tenants, and the team of field operatives. You’ll manage incoming requests, schedule jobs, and provide administrative support to ensure that maintenance work is delivered on time and to a high standard. Your attention to detail and strong communication skills will play a key role in ensuring contracts are delivered smoothly and professionally.

Key Responsibilities

* Managing inbound calls and emails from clients, tenants, and operatives

* Logging and scheduling maintenance jobs

* Assigning work to operatives based on their location and expertise

* Updating our job management system in real time with relevant progress and status updates

* Following up on incomplete or delayed jobs to ensure timely resolution

* General administrative duties, including invoicing

* Assisting the wider property management team with contract coordination and day-to-day support

What We’re Looking For

* Strong organisational skills and a calm, solution-focused approach to problem solving

* Excellent verbal and written communication skills

* Comfortable working in a fast-paced environment with shifting priorities

* Previous experience in a property maintenance, facilities, or contract administration role

* Proficiency in Microsoft Office (Outlook, Excel, Word) and confidence using database or job management systems

* A proactive team player who is dependable and detail-oriented
