Our client, a highly regarded financial services firm, is seeking a Private Client PA/Administrator to join their Administration team on a permanent, full-time basis. Reporting directly to the Head of Administration, you will work closely with a Chartered Financial Planner, providing both back-office support and attending client meetings to deliver a seamless client experience.

This is an exciting opportunity for a professional with strong administrative skills and a client-service focus to become a trusted partner in supporting advisers and enhancing client relationships.

Key Responsibilities:

Provide full administrative support to a Chartered Financial Planner, including attending client meetings to take notes and assisting with follow-up actions.
Manage the Chartered Financial Planner’s diary and ensure all client reports and documentation are prepared to a high standard ahead of meetings.
Generate, update, and manage client records, fact finds, and servicing notes using the internal system.
Liaise with clients, advisers, and the paraplanning team to ensure timely, high-quality delivery of services.
Assist in the preparation and distribution of client meeting packs.
Oversee client servicing activities and workflows, ensuring deadlines are met.
Support business development by helping maintain and update the Procedures Manual and suggesting process improvements.
Promote the firm’s values, brand, and commitment to excellence in client care.
Ensure compliance with FCA Consumer Duty, Treating Customers Fairly, and all internal compliance and anti-money laundering procedures.
Provide general administrative support across the department as required. Key Skills & Experience:

Strong knowledge of Microsoft Word, Excel, and Outlook; experience with Intelliflo Office is highly desirable.
Excellent organisational skills and attention to detail.
Strong written and verbal communication skills with confidence in client-facing situations.
Ability to work independently as well as collaboratively in a small team.
Capable of managing multiple tasks and priorities under pressure.
Familiarity with financial services compliance requirements (Data Protection, FCA Conduct Rules, etc.) is beneficial. Personal Attributes:

Full training provided, including opportunities to attend relevant seminars and in-house development programmes.
Office-based, Monday–Friday.
Parking Permit.
