Supports the new teammate pre-boarding process by scheduling drug tests, background checks, coordinating completion of the I-9 and monitoring the processes to completion. This position also provides information and answers questions from candidates, teammates, and management to facilitate the pre-boarding processes and completion of required employment documents.

* Process candidates through HRIS system timely and accurately to ensure positive candidate experience

* Answers telephone calls and emails from candidates, teammates, and managers regarding new hire processes, paperwork requirements, and background checks; records all inquiries in call-tracking system; answers questions related to onboarding policies and establishes and maintains positive working relationships with management and teammates

* Manages teammate pre-boarding processes and adherence to employment compliance requirements ensures and maintains document compliance and schedules drug tests, background checks with candidates and facilities, coordinates completion of I-9 and other documents, and monitors process to completion

* Identifies potential pre-boarding issues or concerns; researches, provides clarification, and facilitates problem resolution.

* Notifies management and/or departments regarding pre-boarding process issues; collaborates and advises as appropriate to limit company legal liability and escalates non-compliance issues and concerns.

* Identifies trends and issues with the onboarding process flow; makes improvement recommendations to department management.

* Serves as liaison between Optum and third-party vendors regarding background clearance processes and drug testing; coordinates requests, answers questions, monitors and receives results

* Capture pre-boarding documents in HRIS system to provide upon audit requests.

* Other duties and responsibilities as assigned including but not limited to:

* Working overtime with little or no notice as needed

* Attending team meetings, phone conferences, and training as needed

* Knowing, understanding, and following teammate guidelines, employment policies, and department or company procedures

* Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position



* High school diploma / GED


* Bachelors degree in related area required or progressively responsible work experience in related area may be substituted in lieu of degree.



* Minimum of two (2) years Workday Recruiting/Onboarding experience or any other HCM system

* Minimum of two (2) years Human Resources experience in recruitment, pre-boarding, employee relations, benefits, and/or employment compliance preferred


* Demonstrated knowledge of employmentlaws and regulations at state and federal level required

* Demonstrated experience of pre-employment process from offer to hire

* Demonstrated experience inelectronic E-VerifyI-9 process preferred

* Intermediate computer skills and proficiency in MS Word, Excel, Access, PowerPoint and Outlook required; intermediate computer skills and proficiency in Workday, HireRight, and eScreen preferred; experience with applicant tracking systems preferred
