The Senior Office Services Coordinator is responsible for the day-to-day operations of the Office Services department for the Chicago office. In this role, you will be providing administrative support, technical duties and assigned special projects. You will also manage projects, generate and distribute various departmental reports, oversee employee badging and seating reports, as well as supply analyses, facility matters, and mailroom operations.



Position Responsibilities:



- Interact with building management, security card access provider, and other vendors when necessary.



- Proactively identify and address building maintenance needs (e.g., carpet stains, holes in walls, etc.)



- Find ways to identify and improve existing departmental processes.



- Complete office administrative tasks such as maintaining office supplies; sorting and distributing mail.



- Monitor and respond promptly to staff inter-office communications inquiries/requests regarding; office temperature, parking, employee security card access, and repairs, etc.



- Ensure break rooms are clean, stocked, and all equipment is in working order.



- Maintain copiers and other equipment. Perform minor repairs, troubleshooting, contact vendors when repairs need to be made.



- Obtain necessary information to address issues and advise management in decisions e.g., identify contractors/vendors and solicit bids.



- Other duties as assigned.



Position Qualifications:



- Minimum 5 years of office administrative services experience



- Able to demonstrate proficiency in Microsoft Office programs



- Must be detail-oriented and possess strong written, oral and analytical skills



- Ability to establish and maintain effective work relationships with all levels of staff and leadership with



- a high degree of professionalism and excellent interpersonal/communication skills.



- Must be highly motivated and organized, be a hands-on self-starter who can multitask and work with a level of



autonomy.

- Proactive thinker with the ability to complete projects with minimum supervision



- Ability to multi-task, establishing and managing conflicting demands and priorities



- Able to work in team environment



- Ability to adapt to changes in office technology, equipment and/or processes



- Demonstrate consistency and dependability in quantity and quality of work



- May be required to work occasional Saturdays, early mornings, or evenings
