This position is responsible for coordinating and performing all administrative services in support of the Managing Director and the Head of Operations for MDC in ition to other staff members as assigned. This position performs a variety of highly confidential secretarial and administrative support duties. Key Responsibilities - Independently evaluates short and long-term workflow, sets priorities, and performs a variety of diversified assignments in accordance with specifications and deadlines. - Writes, generates, proofs and edits correspondence, reports, presentations, etc., containing highly confidential business/personnel information in a timely, accurate manner in support of staff utilizing a variety of word processing and spreadsheet software. - Schedules travel arrangements and appointments for staff; coordinates on and off-site conference/meeting schedules/logistics for internal and external personnel including transportation, lodging, dining, and preparation/distribution of itineraries. - Prepares and submits expense reports. - Prompts/Executes site communications. - Coordinates and assists with managing calendars/schedules. - Assists with organizing site events (All Hands Meetings, Diversity & Inclusion Events, Safety Stand Downs, etc.) Coordinates JM branded items/gifts for employees/events. - May be assigned regular functional area assignments and special projects in support of staff. This will require a thorough understanding of company policy and application of judgement when executing these assignments. - Develops and maintains efficient filing/tracking systems (electronic/paper) in support of staff to ensure coordination of all activities and prompt retrieval of critical information. - Coordinates office supplies and equipment in support of assigned staff. - Composes and prepares correspondence including required support documentation for approval as assigned. - Handles confidential and non-routine information. - Performs other related duties as assigned. Are you the ideal candidate? - High School Diploma - 5+ years direct administrative experience - Associates degree or 1-2 years of business school training and/or college desirable - Excellent computer skills including all Microsoft Office Suite (Word, Excel, PowerPoint) products in ition to excellent communication and administrative skills - Experience in administrative support role & background in Global companies and manufacturing environments preferred Show full job description Apply Now
